How to Track Stacked MCAs (Multiple Advances) Without Losing Track thumbnail

One merchant cash advance (MCA) is easy to keep in your head.

Two is harder. Three or more? Most owners lose track fast.

This is called stacking — having more than one MCA at the same time. It's common. And it's exactly when tracking matters most.

This guide shows you a simple system to keep every advance clear.

Why stacked MCAs get confusing

With one advance, you have one daily debit and one balance.

With a stack, you have:

  • Different funders with different names on your bank statement
  • Different payment amounts — some daily, some weekly
  • Different start and end dates
  • Different factor rates and total payback amounts
  • One bank account where it all comes out

So you look at your bank balance and see money leaving. But you can't tell which advance is close to done and which just started.

Step 1: Make a list of every advance

Before you track payments, list every MCA you have. One row each.

Stack #FunderAdvanceFactorTotal paybackPaymentHow oftenStart date
1Funder A$25,0001.35$33,750$400DailyJun 3
2Funder B$15,0001.42$21,300$1,250WeeklyAug 12
3Funder C$10,0001.45$14,500$290DailyOct 1

Give each one a Stack # and never change it. This is your master list.

(Example numbers only.)

Step 2: Log every debit with its Stack

Each time money comes out, add a row:

  • Date
  • Amount
  • Funder name
  • Stack #

The Stack # is what keeps everything sorted. One debit = one row. Don't combine.

If you need a starting template, see How to track daily MCA ACH payments (free template).

Step 3: Keep a separate balance for each advance

For each Stack #:

Still owed ≈ total payback − paid so far (for that stack only)

Never add Funder B's payments to Funder A's total. That's the most common mistake.

In Google Sheets or Excel, a SUMIF on the Stack # column does this for you:

=SUMIF(StackColumn, 1, AmountColumn) gives you total paid on Stack 1.

Step 4: Know your real daily cash hit

This is the number most owners miss.

Add up all MCA payments that hit on a normal day. Turn weekly payments into a daily number by dividing by 5 (business days).

Using the example:

  • Funder A: $400/day
  • Funder B: $1,250/week ÷ 5 = $250/day
  • Funder C: $290/day
  • Total: about $940 every business day

Now compare that to your average daily deposits.

If MCA payments eat a big share of what comes in each day, you have less room for payroll, rent, and inventory.

Watching this number every week is the best early warning you have.

Step 5: Watch for these red flags

Your tracker makes problems easy to see. Look for:

  • Debits on days you didn't expect (holidays, weekends, or twice in one day)
  • Amounts that changed without notice
  • Payments after an advance should be done — compare against total payback
  • Debit names you don't recognize — find out who it is
  • Total daily hit going up faster than your sales

When you see one, write it in Notes with the date. If you need to talk to a funder, you'll have the record.

Step 6: Mark payoffs clearly

When an advance is paid off:

  1. Get the payoff letter in writing.
  2. Mark the stack as PAID with the date.
  3. Watch your bank for the next two weeks. There should be no more debits from that funder.

If a debit does show up after payoff, contact the funder right away with your payoff letter and bank record.

A simple weekly routine

Every Monday, take 10 minutes:

  • Add last week's debits (with Stack #)
  • Check each advance's paid-to-date and still owed
  • Check your total daily cash hit
  • Note anything unusual
  • Check which advance finishes next
